Ways to Summon Candidates from Public Organizations

Currently, different organizations have several ways to summon candidates to their exams.

Small Centers

Small classrooms (fewer than 100 people).

Organization in Non-Large Classrooms

For access in centers with people assigned by classrooms in schools/institutes, our control system provides the following advantages to the organization:

With many classrooms, candidates may enter the wrong classroom, and with our control system, when candidates are scanned, they are notified if the classroom is correct or not (they could be directed to the correct location).
There is no need to make announcements at the doors, as access validity is directly controlled. Entry is expedited and crowds at the doors are avoided.
Real-time statistics are available for people accessing by classrooms, numbers of people, gender, and other relevant data.
Automatic sending of attendance certificates.
You can enable collecting information from each candidate at access points.

Access in Large Pavilions or University Classrooms.

A usual way of working that we have performed is as follows:

We insert candidate data into the system. If they have a QR code, it is added; if not, we send them their accreditation via email or SMS.

Candidates access with their application (QR) or with the accreditation generated by Bikubo. If they don't have it, it can be printed on the spot using quick search.

At the doors, staff scans the QR to validate if access is correct and prevent duplicates. The system validates against server and device for maximum security.

There are counters that indicate how many people are entering each venue.

When access is finished, statistics are generated: total attendees, distribution by gender, age, education, origin, etc.

We can scan candidates inside the venue for traceability (useful for COVID protocols or other controls).

Certificates can be sent by email to all candidates who attended, even the same day.

We then send access reports: by venues and traceability matrices.

Online Registration with Automatic Assignment

This system allows candidates to register or modify their registration online.
It validates data, prevents duplicates by date, and automatically assigns classroom and time, sending information via email and WhatsApp along with a QR accreditation for exam access

New Registrations

Step 1: Select Make a new registration
Step 2: Enter DNI and check available options
Step 3: Select call, available options and available dates, with automatic control of one registration per date
Step 4: Select exam date
Step 5: Select calling administration
Step 6: Select the group you wish to apply for
Step 7: Select the body you want to access
Step 8: Select language and confirm data

Final result: the system automatically assigns time, building, classroom, and sends the candidate the QR accreditation along with notifications via email and WhatsApp.

Modify an Existing Registration

Step 1: Select Modify an existing registration
Step 2: Enter the locator received via email or WhatsApp (or request resend via email)
Step 3: Enter DNI and locator to display associated registration
Step 4: Modify necessary data (date, administration, group, body, and language)
Step 5: The system automatically recalculates classroom and time assignment, freeing up the previous one if applicable

Final result: the candidate receives updated confirmation of location and time, along with notifications via email and WhatsApp.
